TITLE : Programme Assistant
GRADE : NA6
OFFICIAL STATION (COUNTRY) : Nairobi
ORGANIZATIONAL : Regional Office for the Eastern Mediterranean (EMRO)
LOCATION/UNIT Office of the WHO Representative,
PURPOSE OF THE POST : To provide programme and administrative support to the WHO Representative’s Office.
THE SUCCESSFUL CANDIDATE WILL:
Under the direct supervision of the Administrative Officer and the overall supervision of the WR, the incumbent will perform the following duties:
1. Co-ordinates WR’s participation in programme activities by monitoring and managing WR’s daily programme and duty travels schedule, disseminate information to programme coordinators, team leaders and OICs of WHO sub-offices in Somalia
2. Handles and monitors requests received from the three authorities in Somalia, RD and DRD offices, UNRC office , and partners
3. Handles confidential and sensitive information in an appropriate manner.
4. Collects, analyzes information on implementation of project activities and reviews draft reports with technical staff involved.
5. Contributes to the preparation of status and progress reports requested by WHO, UN agencies, CAP, CHF and UNTP by providing information , preparing tables and drafting selected sections where needed
6. Prepares background/briefing materials on operational aspects, as well as, on policy related issue for use in discussions and briefing sessions for WR with high level officials.
7. Assists in the identification and formulation of programme activities and participates in the preparation of draft proposals
8. Assists WR in the preparation of resource mobilization activities.
9. Assist programme coordinators, team leaders and OICs in the development of JPRM work plans.
10. Focal point and trainer for GSM.
QUALIFICATIONS REQUIRED:
EDUCATION
AND SKILLS:
- Completion of Secondary Education with Programme and Administrative background
- Good knowledge of modern office procedures
- Good knowledge of the WR’s office procedures and established rules
- Familiarity with project/unit’s work would be an asset
- Ability to operate MS Word, Excel, PowerPoint, Access etc
- Good filing and organization skills
- Good drafting skills
- Ability to guide other staff
EXPERIENCE
- At least six years of progressive experience preferably with the organization.
LANGUAGES :
- Very good knowledge of English and Kiswahili
The selected candidate may be initially appointed at one grade below the grade of the post.
