Position Description
Title: Admin & HR Assistant
Location: DRC HoA Office, Lower Kabete Road near Ngecha Rd., Nairobi
Salary Grade: Regional Scale
Date of Contract & Duration: February 1, 2009 One Year w/possibility of extension
Background
The Danish Refugee Council (DRC) has been providing relief and development services in the Horn of Africa since 1997. Using a protection of human rights framework, DRC has mainly focused on Somalis who are displaced by conflict. Programmes include protection, livelihoods, food distribution, water and sanitation, emergency relief and advocacy amongst others. There are 4 main programme offices in Somali region, one in Yemen, one in Kenya and one regional office in Nairobi. There are also regional programmes, which are supported from the regional offices. Currently there is over 150 DRC staff in the region. The last 2 years have seen some growth in programme size, but primarily there has been a growth in the number of support and management functions demanded and required by the programme offices, in order to maintain quality and accountability.
Purpose
As the size of the DRC portfolio increases, additional support staff will be required to maintain a standard level of service to our Programme Offices. The Admin & HR Assistant will provide critical services in support of this effort.
Key Responsibilities:
Administrative:
· Out-of-office work i.e. minor procurement, travel arrangements, visas
· Solicitation & collection of quotations for Admin Manager
· Delivery of office correspondence either by messenger, email or post
· Supervision of office supplies
· Maintenance of current files
· Maintenance of non-expendable property/inventory records
· Management of store room
· Focal point for contracted maintenance workers
· Other duties as required by the manager
Human Resources:
· Maintenance of personnel files with all necessary documents
· Drafting employment contracts for the Finance Manager
· Advertisement of positions open for recruitment
· Collection of applications for HR Manager to review
· Maintenance of all types of leave records
· Processing of Leave Requests
· Maintenance of health insurance records
· Processing of insurance claims where necessary
· Other duties as required by the HR Manager
Reporting Arrangements
The Regional Admin & HR Manager will direct the work of this position. This position has no supervisory duties.
General
All DRC staff must be committed to the Red Cross Code of Conduct, as well as the Humanitarian Accountability Partnership Standard in Accountability and Quality Management.
Personal Specifications
Essential:
- Secondary School Diploma
- High degree of proficiency in written and oral English
- Proficiency in written and oral Kiswahili
- High level of proficiency in Microsoft Word & Excel
- Positive attitude and service oriented
- Strong organizational skills
- Able to work without supervision and accomplish results
Preferable: - Prior experience working for INGOs
- Post-secondary education
- Touch keyboarding skill
