Logistics Assistant: Mines Advisory Group (MAG) Jobs in Kenya

During the past 20 years we have safely found, removed and destroyed millions of landmines, small and large bombs, missiles and other tools of armed conflict. By freeing up millions of acres of land we are the precursor to the development and economic growth of conflict-affected countries throughout the Middle East, South East Asia and Africa.

The MAG Regional Office Africa, based in Nairobi, offers crucial support services to our programmes in the Democratic Republic of Congo, Burundi, Somalia and Sudan.

Reporting to the Procurement Officer, the postholder will be assisting in all steps of the procurement process and be responsible for other logistics related tasks.

Experience in procurement and administration is essential. The successful candidate should also be able to demonstrate experience in working under tight deadlines, negotiating and in a service orientated approach to work. Good working knowledge of MS Access databases is desirable.

Previous experience of working within the Humanitarian Mine Action sector, and at field locations is preferred.

Logistics Management Advisor

The Logistics Management Advisor will take the lead role in developing, coordinating and managing the reproductive health Supplies by assisting and supporting the Member Associations in line with the IPPF Strategic Framework.

The Advisor will report to the Programmes Director
He/she will be responsible in providing Technical Assistance in logistics management to MAs and support in their Logistics Management Systems
He/she will contribute to the development of effective strategies for Reproductive Health Commodity Security
He/she will be responsible for the development of Supplies procedures and guidelines
He/she will be responsible for MAs commodity allocations, utilizations and budgetary issues and ensure that MAs adhere to IPPF Logistics Management Policies and Procedures.
He/she will offer advisory services to MA’s on sourcing and procurement of supplies
He/she will be the focal person to liaise and advice the IPPF procurement Department in the Central Office in London.

Excellent communication skills
Excellent training or facilitative skills
Ability to work well within a diverse team

Negotiation skillsWith at least 5 years experience in both International health or development and managing logistics and reproductive health supplies, you must have a relevant post- graduate degree and a keen grasp of sexual and reproductive health and rights in Africa.

Sound cultural and political sensitivity along with excellent communication skills – verbal and written are essential.
Fluency in English and French is essential. Knowledge of Portuguese would be an added advantage.

Logistics (CTS) Assistants

Job Title: Logistics (CTS) Assistants Duty Station: Various locations in Kenya
Post Grade: G4 (Service Contract)
Accountabilities: Under the direct supervision of the Field Monitor Assistant , the Logistics (CTS) Assistant will be responsible for the following duties:
Major Duties and Responsibilities:
General Logistics:
· Support and advise the lead NGO at the Extended Delivery Point (EDP) regarding logistics issues arising from the Letter of Agreement between WFP and the lead NGO to ensure effective management of WFP provided food.
· Ensure that the lead NGO maintains accurate and complete records of WFP-provided commodities (including commodities provided by the GoK to WFP), from the time commodities arrive at the warehouse until final delivery to the Final Delivery Points (FDPs).
· Ensure that the lead NGO provides required reports (as per the Logistics guidelines) correctly and on time to the WFP Logistics Unit in Nairobi.
· Ensure timely offloading of all primary transport by the lead NGO at the EDP and inform WFP Logistics Unit in Nairobi of any delays.
· Execute training for logistics staff of lead NGOs in commodity handling, record keeping and reporting as per EMOP guidelines, if and when required.
· Report all security incidents in the district to the Logistics Unit in Nairobi.
· Carry out random visits to FDPs to ensure commodity handling and management is in accordance with WFP standards all the way to the beneficiary.
Commodity Tracking (CTS/COMPAS):
· Thoroughly check the information registered on the documents provided by the lead NGO for clarity and correctness in accordance with the established procedures before entering data.
· Post daily receipts and dispatches of WFP food and non-food commodities into the CTS system, based on waybills and reports received from the lead NGO.
· Monitor the correct use and quantity as per supporting documents. (Supporting documents comprise WFP waybills, non WFP delivery/dispatch documents, loading orders, etc.)
· Register and record transit and warehouse damages and losses as per documentation.
· Cross check any differences between the data entered into the system against the actual physical documents to maintain high recording standards as required by the organisation.
· Organise and execute systematic audits and reconciliation exercises with the lead NGO to compare records against actual physical stocks on a regular basis.
· Maintain proper filing systems and archiving of documents so that they may be retrieved promptly and efficiently when required.
· Send/receive data transmissions on a regular basis as set by the CTS Unit in Nairobi.
Qualifications and Experience:
Education: Completion of secondary school education. Diploma in Computer Studies/Stores/ Logistics.
Experience: At least three years’ progressively responsible support experience. Sound background in inventory management and record keeping; experience in commodity reconciliation and stock recording; conversant with documentation and procedures of clearing food stocks; knowledge of warehouse stock record procedures. Ability to work effectively in a multicultural team environment. Willingness to travel and to work under difficult conditions.
Knowledge: Computer literate and good working knowledge of Microsoft software applications (MS Word and Excel).
Languages: Proficiency in written and oral English and good spoken Kiswahili.
Desirable: Working knowledge of COMPAS. High degree of accuracy and competency required together with the ability to work methodically.

Languages: Very good knowledge of English and Kiswahili.
