Position Description
Title: Receptionist
Location: Nairobi Regional Office
Date of Contract & Duration: February, 2009 for 1 year w/ possibility of extension
Background
The Danish Refugee Council (DRC) has been providing relief and development services in the Horn of Africa since 1997. Using a protection of human rights framework, DRC has mainly focused on Somalis who are displaced by conflict. Programmes include protection, livelihoods, food distribution, water and sanitation, emergency relief and advocacy amongst others. There are 4 main programme offices in Somali region, one in Yemen, one in Kenya and one regional office in Nairobi. There are also regional programmes, which are supported from the regional offices. Currently there is over 150 DRC staff in the region. The last 2 years have seen some growth in programme size, but primarily there has been a growth in the number of support and management functions demanded and required by the programme offices, in order to maintain quality and accountability.
Purpose
The receptionist is the primary interface between DRC and the general public/ guests who visit or telephone the Regional Office. As such, he/she must be able to represent DRC very professionally. The receptionist is also responsible for a range of key tasks, including bookings for flights, guest houses, vehicles, hotels.
Key Responsibilities:
Receptionist.
Ø Meets and greets public visitors, makes them feel welcome, offers them a place to sit and a drink.
Ø Answers all incoming calls to the switchboard, forwarding to appropriate extensions or taking messages as required.
Ø Informs DRC staff of waiting visitors via telephone.
Ø Receives, logs, and distributes all incoming correspondence and deliveries.
Other:
Ø coordinates use of office vehicles
Ø maintains the staff location board
Ø Manages bookings for flights, hotels, guest houses, vehicles.
Ø Photocopying, fax, printing, editing, and other duties as required by Regional Admin and HR manager.
Reporting Arrangements
Reports to the Regional Admin and HR Manager. No supervisees.
General

Personal Specifications
Essential:
Ø High degree of English and Kiswahili language proficiency – both written and oral
Ø Proficiency in Microsoft Office programmes: Word, Excel, Power point, Access, Microsoft Outlook
Ø HP Scanner / Printers / Fax Machine/ High-speed copier
Ø PABX Telephone switchboard
Ø Mobile telephone
Ø All manually operated office equipment
Ø Secondary School Diploma
Ø Ability to greet visitors and tactfully screen office telephone calls
Preferable:
Ø Touch keyboarding
Ø Advanced education
Ø Somali language proficiency
Ø Knowledge of use of Thuraya satellite telephone
Terms and Conditions:
Gross Starting Salary is 44,556 KES per month all inclusive.
