Admin Assistant
We are looking for an Admin Assistant who will provide administrative support to KARA. The successful candidate will be required to work flexibly, in a rapidly developing environment in Nairobi.
Responsibilities
- Coordinating local and international travel, meetings, workshops and conference logistics.
- Providing secretarial support services including drafting of routine correspondence, report formatting, book and prepare meeting rooms and provide / arrange hospitality
- Providing general administrative support which includes receiving and assisting visitors, attending to telephone calls and setting appointments
- Maintaining an updated electronic office calendar and contact list
- Maintaining up to date hard copy and electronic filing systems
- Coordinating purchase and requisition of office supplies for KARA office
- Managing office equipment such as the photocopier and coordinating maintenance of all offices, office furniture and standard equipment such as phones
- Providing secretarial support to KARA Chairman, managing all Governing Council and
Executive Committee meetings and other assignments as directed by Finance and Administration Manager.
Essential qualities for this position
- At least three (3) years administrative support and office management experience in a busy office
- Demonstrable experience in organizing meetings, conferences and workshops
Attention to detail - Excellent communication skills and pleasant personality
- Basic accounting knowledge
- Aged 35 years and below
- Educational background
- A diploma in Front Office Management, Business Administration or Secretarial studies from a recognized college.
