Job Title: Reports Assistant Duty Station: Nairobi
Post Grade: G4/5
Accountabilities: Under the direct supervision of the Reports Officer and in close liaison with the Programme Units, the incumbent will perform the following duties:

Major Duties and Responsibilities:
· Monitor and review regular sources of information and data for preparation of reports, e.g. information from field offices, from NGOs, news clippings, surveys, food assessments and statistics.
· Read weekly (and monthly( sub-offices’ (satellite offices) reports and prepare a summarised report on a weekly basis that highlights key issues/actions for follow-up, and distribute to relevant staff in the Country Office.
· Assist in ensuring Co-operating Partners (CP) reports received from the field are timely and accurate.
· Collect various statistics from diverse sources (e.g. beneficiaries reached, tonnage distributed, funds received) and prepare summaries using graphs and tables.
· Take minutes at Programme Unit meetings as required, and ensure that action points are noted and minutes distributed on time.
· Compile inputs for OCHA’s humanitarian bulletin or other OCHA reports as required.
· Assist in updating PowerPoint presentations
· Supply field staff with up-to-date information on WFP activities.
· Perform other related duties as required.

Qualifications and Experience:
Education: Successful completion of secondary school education (KCSE). Diploma/training in Journalism, English, International Relations, Communications or related field.
Experience: Three to four years’ progressively responsible experience, including experience in the preparation and production of materials for publication.
Skills: Analytical ability, skill in developing sources for data collection, good computer skills including knowledge of layout software and Microsoft Office, good interpersonal skills and ability to work in a multicultural team environment. Ability to work with minimum supervision and to work accurately under time constraints and pressure. Should possess good writing skills and be able to write balanced reports and informational pieces on WFP activities and operations. Ability to deal patiently and tactfully with staff members and others and to have initiative and good judgment. Should be able to plan and organise work.
Language: Fluency in both written and oral English.
